Published starting investment

From $2,500 setup + $495/month

One establishment, up to 100 active workers, three-month minimum. Final employer determinations and certifications remain with the employer.

Best fitCovered employers managing injury and illness records and ITA readiness.
  • Forms 300, 300A, and 301 workflow
  • Decision trail
  • ITA readiness support

The log is easy until the first complicated case.

Recordkeeping fails in the handoff between an injury, medical information, supervisor follow-up and the annual summary. The system keeps the facts, decision trail, forms and dates together without pretending software makes the judgment for you.

Incident intake workflow

A consistent path from initial report through follow-up facts, privacy handling and the recordability review.

Forms 300, 300A and 301

Current records organized by establishment with equivalent-form output available when needed.

Decision support

Up to two case-classification support reviews per month against the criteria in 29 CFR Part 1904.

Annual closeout

Completeness review, Form 300A preparation support, certification routing and posting calendar.

ITA readiness

Establishment data and applicable electronic-submission file checked before the employer authorizes submission.

Retention and access

Five-year record organization, privacy case handling and a controlled response path for requests.

Standard scope

The boundary, stated plainly

OccuPros organizes facts and supports the analysis. The employer makes the final recordability determination, certifies the annual summary and authorizes any electronic submission.

From incident facts to a controlled record

A recordkeeping workflow built around decisions, dates, and evidence.

The useful part of a recordkeeping system is not a blank log. It is the repeatable path that preserves the facts, identifies the establishment, routes the case for review, and keeps the annual closeout from becoming a last-minute reconstruction. OccuPros maintains that operating path while leaving required employer decisions with the employer.

Capture the event

Collect the worker, establishment, event description, body part, treatment, restrictions, days away, and follow-up owner in one case file.

Review the criteria

Organize the work-relatedness, new-case, and recording-criteria questions in the sequence used by OSHA, with unresolved facts clearly flagged.

Maintain the forms

Keep the case file aligned with Forms 300, 300A, and 301, including privacy-case handling and changes that affect day counts.

Close the year

Run completeness checks, route the annual summary for employer certification, manage the posting calendar, and prepare applicable ITA data for employer-authorized submission.

Inside the operating model

The service separates routine administration from employer control points.

That separation keeps the workflow useful without implying that a consultant or software product can take over certifications, medical judgments, or legal responsibility.

Monthly case desk

New facts, status changes, and day counts are reconciled on a regular cadence. Open questions are assigned instead of disappearing into email, and the current log stays connected to its supporting case files.

Annual closeout control

A defined calendar covers completeness review, Form 300A preparation, executive certification routing, the required posting window, and electronic-submission readiness when the establishment is covered.

Retrievable evidence

Case documents, classification notes, privacy handling, form versions, and employer approvals are organized so an authorized request can be answered without rebuilding the history from scattered files.

What we need to configure it

  • Establishment list, locations, and responsible company contacts
  • Current-year Forms 300, 300A, and 301 or equivalent source records
  • Incident intake routes and the people who provide follow-up facts
  • Work-status and treatment information available to the employer
  • Applicable posting and electronic-submission responsibilities

What the operating package produces

  • Consistent case intake and follow-up record
  • Employer-facing recordability decision trail
  • Current establishment logs and supporting forms
  • Annual review, certification, and posting calendar
  • ITA-ready data package when electronic submission applies

Discovery focus: establishments, current log condition, incident volume, existing case owners, and whether annual electronic submission applies determine the right implementation scope.

Common questions

Do all employers have to keep OSHA 300 records?

No. Two partial exemptions apply and they are measured differently. The size exemption is based on the number of employees in your entire company, using peak employment during the last calendar year, so a company that had more than ten employees at any point in that year must keep records. The industry exemption is applied establishment by establishment, using the classification of each establishment. Partially exempt employers still have severe-injury reporting duties. We verify the scope at kickoff.

Will OccuPros decide whether a case is recordable?

We organize the facts and provide support against the criteria in 29 CFR Part 1904. The employer makes and owns the final recordability determination and any certification or electronic submission.

What does ITA support include?

We check establishment data, prepare the applicable dataset, run a completeness review and support the employer through the Injury Tracking Application process. The employer reviews, certifies and authorizes the final submission.
